Hubspot - 3. Export data from Webinar+ to HubSpot

Export registrations from Webinar+ to HubSpot:

 

Prerequisite:

  • Kindly set up the HubSpot account in the Webinar+ dashboard. Kindly refer to this guide.
  • Create required fields (custom properties) in the contact information on your HubSpot Account. It is recommended that all the field types be used as text in Hubspot.
  • You will be able to export all Webinar+ standard Profile fields, Custom Profile Fields (except for custom fields of type ‘Group’), All Groups, User Activities, Magic Link, etc. from Webinar+ Event to your Hubspot Contacts.
  • Any updates to the profile fields will be synced automatically to Hubspot Contacts:
    • Contact will be created/updated when data is exported. You will have to create a contact property only if they do not have a property matching to Webinar+ field. In order to add Custom Property in Hubspot you may also refer to this article.
    • If the field types don't match, we will display a warning message, and the sync might fail.

You can set up the default export settings via the following steps. These settings will be applicable across all new events that are created once these settings are saved:

  1. First Name, Last Name and Email are the mandatory fields for export and these will be mapped automatically. Without mapping these fields, you cannot export data to HubSpot.
  2. You can map additional fields in Webinar+ to send them over to HubSpot by clicking on ‘Add Fields’
  3. You can choose to send the Magic Link to HubSpot if you want attendees to join the event/webinar with a join link. You can use the Magic Link in any emails that you send to your attendees via HubSpot
  4. Finally, you can click on ‘Save and continue’ and move towards the export of activities

A couple of important points to note:

  1. The above settings will be applied automatically to all events that are created once these settings have been saved. However, you can edit these mappings for a specific event by navigating to the event level integration settings and clicking on ‘Review Settings’:
  2. While the settings will be applied automatically to all new events: export will only take place if you ‘Enable’ sync by navigating to the event level integration settings and clicking on ‘Enable’
    1. Once you have enabled Sync, the Profile Fields mapping within the event level integration settings will be disabled and you won't be able to update it. You can update it by turning off the sync.

 

Logs :

You can check the logs from the dashboard for Import and Export for both successful and failed entries.

Kindly go to the Integrations section in the dashboard > Logs > Select Hubspot from the dropdown menu -
