VE Admin Role Definitions

Below are the definitions for the individual roles available for system administrators inside VX.  These roles are available inside new VX tenants created after the 15.3 product release. 

 

*Please note, for roles that do not include include access to all events, it is suggested to include the Event List Only role and specify the individual events the administrator can access (this is in addition to the roles you want them to have).  

 

To select multiple roles for a user, hold down the control key on your keyboard and select the needed roles.

 

Tenant Roles

Data Portal Only

No tenant access included. User is only able to login to data portals using their Login ID and password.

 

Administrators

Gives access to view all events in the tenant and can edit system users.

 

API Access Display

Gives access to view all events in the tenant and view API credentials.

 

Certificate Roles

Gives access to view all events in the tenant and edit Certificate Roles.

 

Change Log Activity

Gives access to view all events in the tenant and run Change Log Activity reports.

 

CMS

Gives access to the CMS.

 

Event Classification

Gives access to view all events in the tenant and edit Event Classifications.

 

Event Creator

Gives access to view all events in the tenant and can create new events.

 

Events List Only

Gives access to view assigned events in the tenant. User must be given access to each event individually for it to appear in the list. User cannot create new events or edit existing events without additional access roles.

 

Manage Amplify

Gives access to view all events in the tenant and view Amplify configuration data.

 

Manage ECDNs

Gives access to view all events in the tenant and view eCDN configuration data.

 

Password Policy

Gives access to view all events in the tenant and the Password Policy menu.

 

User-Defined Fields

Gives access to view all events in the tenant and edit UDFs.

 

User Types

Gives access to view all events in the tenant and edit Event Types, Space Types, Attendee Types, Sponsor Types and Sponsor User Types. Each type can be removed from the role to prevent access, if desired.

 

Webcast Recordings

Gives access to view all events in the tenant as well as view the progress of, and retrieve, completed Webcast Recording files.

 

Event Roles

Content Structure

View and edit subject categories, presentation tracks, presentations, event materials in the resource center and manage tags. Presentation and track editing rights can be removed from the role, if needed, allowing the menus to be view only.

 

Dashboard

Registration and login page URLs, registration totals, users currently only, unique logins, environment dates, carbon savings, upcoming, new and expiring presentation details. Support tools and diagnostic information are also provided.

 

Event Tools

Edit login page(s), system text overrides, activity digest, invite a friend, certificate merge variables and custom CSS. Tools are available to reset event activity, update email/vcard forwarding and set digest frequency, time zone and chat fonts.

 

General Settings

Event settings including title, contract ID, event dates, search options, support email address and languages.

 

Host Spaces

Creation and editing of host spaces within the event.

 

Job Fair

Manage job posting requirements, create or upload job postings and download resumes from applicants. Each option can be disabled as needed.

 

Messaging

Edit announcements, marquee messages, external email communications, manage unsubscribers and in-event messages. Editing capabilities for announcements and marquees can be removed, allowing the menus to be view only.

 

Metrics

View event reports. Report and data portal editing capabilities are not included by default.

 

Navigation

Upload the layout background image, custom toolbar colors, header image, toolbar items, display order and landing page.

 

Promotion

Manage display ads, giveaways and badges. Editing capabilities for Giveaways and Badges can be removed, allowing the menus to be view only.

 

Registration

Edit registration pages, registration packages and discounts, domain restrictions and whitelists/blacklists. Tools for mass registering users and registration activity search are also included.

 

Social Media

Manage social content sharing, social logins, activity wall and social suite integrations for Facebook and/or Twitter.

2.23.23 UPDATE: Social Login in no longer a Platform Supported Feature and will be removed in an upcoming release.

 

Sponsor Setup

Create and edit sponsors, sponsor users and sponsor booths. Space Builder Setup is also available, along with the ability to launch Space Builder.

 

Sponsor User editing can be removed, preventing the admin from changing user data within the sponsor.

 

Users

Edit the user profile fields (responsive only), editable profile (3d only) and profile display (3d only). Attendee and sponsor user search, user profile edits, survey edits, manage online users, change user passwords and convert users to another type tools are also included.

 

Editing rights for attendees and/or sponsor users can be removed, allowing the admin to only search for existing users but not edit any profile data.
