How to: Gate Registration
Not every event is meant for everyone, and Brandlive gives you flexible ways to control who can access your content. Whether you’re hosting a private executive briefing, a customer-only webinar, or a gated registration experience, you can tailor access to fit your audience. Gating options include restricting entry to a defined audience list, allowing or blocking specific email domains, requiring a shared passcode, or enabling attendees to create individual passwords. With these controls, you can confidently manage access while delivering a secure, intentional experience for the right audience.
How to Gate by Audience List
To block access to your event or webinar by users in an Audience List, you’ll need to ensure the list of users you want to allow is selected in your project.. To do this, open the left side menu in Project Details and select the “Audiences” menu.
On the right side, select “Add list” and confirm if you’ll be using an existing list or uploading a new one.
Make your selection to use an existing list or to create the new list. When creating a new list, users can import a spreadsheet or add users manually:
Once added, click “Save”.
Next, navigate to the Settings page for your project from the top right corner. Select the Access tab on the left side menu.
In the section “Access restrictions” select the toggle to enable restrictions, and choose “Audience List”. You’ll then be prompted to configure allowed or blocked domains, and to submit the specific domains you are allowing or blocking.
Note: Admins must have an audience list configured within the “Audiences” menu of Project Details for this restriction to work.
How to Allow/Block Access by Email Domain
To block access to your event or webinar by email domain, navigate to the Settings page for your project from the top right corner. Select the Access tab on the left side menu.
In the section “Access restrictions” select the toggle to enable restrictions, and choose “Domains”. You’ll then be prompted to configure allowed or blocked domains, and to submit the specific domains you are allowing or blocking.
Save and Publish.
How to Gate with Shared Passcodes
To create a universal shared passcode for all attendees, navigate to the Settings page for your project from the top right corner. Select the Access tab on the left side menu.
In the section “Access restrictions” select the toggle to enable restrictions, and choose “Passcode”.
Enter your passcode and click on “Save” and Publish. Users will now need to enter your created passcode in order to access the webinar.
How to Gate with Password Login
To enable attendees the ability to choose their own password during registration, navigate to the Settings page for your project from the top right corner. Select the Access tab on the left side menu.
In the section “Access restrictions” select the toggle to enable restrictions, and choose “Password login” and click “Save” and publish.
Attendees will arrive on a Brandlive registration page and see a customized registration form, plus the password fields.
If they are a returning registrant, they should select the "Already registered? Sign in here":
Then, they can proceed to sign in by inputting their email and password:
Signing in will take them directly to the webinar or event. If they have forgotten their password, they can follow the Forgot Password flow. If their email exists in the project's registration log, they will receive a message that will let them reset their password. After resetting their password, they will gain entry to the webinar or event.
Attendee Experience
Access to your event is guided by the gating rules you’ve put in place. If an attendee attempts to register but doesn’t meet those requirements, Brandlive will surface a clear, immediate message explaining why access isn’t permitted. This may prompt them to use an approved email domain or indicate that they are not included on the authorized attendee list. The result is a straightforward, guided experience that reinforces your access settings while helping attendees understand how to proceed.
