How to: Join Greenroom via Conference Room

Greenroom’s latest toolset is designed to integrate directly with your in-office AV systems, so that presenting alone or with a group is as seamless as it is from your home office. 

When joining Greenroom, you can now connect your video from any conference room. After logging into your account, you now have the opportunity to pair your Greenroom session directly to your conference room TV, with an optional companion mode feature to advance your slides from your laptop. 

Conference Room Integration

Connecting your conference room to Greenroom just got easier. Organizations can now bring virtually any conference room system directly into their Brandlive production environment. This integration works using SIP, allowing the room system to place a simple outbound call to join Greenroom, just like dialing into a meeting. Because SIP is widely supported across modern conferencing platforms such as Zoom Rooms, Microsoft Teams Rooms, Cisco, and other room systems, most organizations can connect their existing meeting spaces with little to no additional hardware. The result is a seamless way to include boardrooms, offices, and conference spaces in your live events while maintaining the polished, broadcast-quality experience Brandlive is known for.

How to setup your conference room device

Step 1: Create The Feed - Invite a presenter (this “presenter” will be whoever is going to setup/connect the conference room equipment). The user will receive an email and link to connect to GR like an ordinary presenter.

They will access the presenter link, and when prompted by the platform to choose their device and settings, will select “Use Conference Room”.

Step 2: The Greenroom for Conference Rooms page will load displaying the SIP address (o.brandlive@joingw.com) and a place to submit an entry code. The SIP address is what you will enter into your conferencing unit to make an outbound call.

Step 3: Once the SIP address is entered in the device, make the call and the monitor/TV your device is connected to will display an entry code:

 

Note: Codes will remain active and persist for one hour.

Step 4: It is this code that you will enter into the page that shows the SIP address.

Step 5: Once the code is submitted, the last thing you’ll need to do is confirm how your room is configured and how you’d like it to connect:

Live Audience - This option will display the Greenroom Canvas on the conference room screen allowing for watch parties and to use conference room AV equipment as the source of a feed in your production workflow.

Presenters Only - This option will open the presenter Greenroom interface on the conference room screen allowing presenters to see the backend interface and communicate using Greenroom’s Producer Comms.

Once selected, click “Connect Room” and you will see your feed connect. The page on your computer will display that you may close the window or open Companion Mode.

Step 6: After connecting your conference room, you can optionally join via companion mode. This will allow you to control slides, write chat messages, and more from your laptop while utilizing a conference room system.

Step 7: You’re all done! Your conference room will now be displaying the Greenroom on the screen, and you can begin presenting.

Room Connected, But Need Presenter Tools?

When joining Greenroom from a conference room system, you may still need access to the presenter tools that help run the show. Companion Mode makes this possible by allowing a presenter to connect their conference room for audio and video while simultaneously joining Greenroom from a laptop with presenter-level access. This gives presenters the ability to control slides, monitor chat, upload media, and communicate with producers, all from the Greenroom interface, while continuing to use the room’s professional audio and video equipment for the live broadcast.

 

What Systems does this Integration Support?

Because SIP is a widely supported standard for video conferencing, most modern room systems can join Greenroom by simply placing an outbound SIP call.

Commonly supported systems include:

  • Zoom Rooms
  • Microsoft Teams Rooms
  • Cisco room systems
  • Google Meet room hardware
  • HP Poly (Polycom) conference systems

This list represents common examples, but it is not exhaustive. Any conferencing system capable of making outbound SIP calls should generally be able to connect to Greenroom using this integration. If you're unsure whether your system supports SIP dialing, we recommend checking with your IT or AV team before configuring the connection.

Use a Conference Room as a Location

If you’re wanting to use a conference room as a Location feed, first create your Location, giving it a name. 

Next, repeat steps 1-5 from above. When selecting your room configuration, choose “Live Audience” and an option to select your newly created Location is available in the dropdown. At this point you can also toggle on Smart Canvas.

Legacy Conference Room Workflows

Legacy SIP Integration

First off… what is SIP? 

SIP stands for Session Initiation Protocol. It is a universally supported protocol for connecting different video conferencing solutions together. This method will allow almost ANY conferencing room solution to connect directly to Greenroom.

The catch…

SIP can be a great tool for connecting various conferencing solutions with greenroom, But here are a few limitations to be aware of when using SIP with greenroom:

Backstage Comms only partially supported

When a SIP feed is connected, all feed audio within the greenroom is passed into the SIP connection, Whether or not it is on canvas, or “backstage”

The SIP feed’s audio will only be sent to the audience if it’s in the canvas

Media playback within Greenroom will not be passed back to conference room solution

SIP Conference room connection

Step 1: Locate the “SIP URI” for your conference room system. 

Example: 492819.19190@zoomcrc.com

Step 2: Ensure that you are already invited to a Greenroom as a presenter. Producers may invite themselves as presenters as well. Adding an email as a Presenter prompts the platform to prompt the presenter onboarding flow seen below.

Step 3: Make sure you’re inside a conference room with both your work computer open, as well as the conference room interface accessible.

Step 4: Begin the presenter onboarding flow on your work computer, and click the “Use conference room” button once it appears.

Step 5: Choose any of the SIP options available.

Step 6: Give a name for your feed, which will be displayed in the feeds tab. Also paste your SIP URI into the field and click connect.

You’re all done! Your conference room will now be displaying the Greenroom on the screen, and you can begin presenting.

Step 7: After connecting your conference room, you can optionally join via companion mode. This will allow you to control slides, write chat messages, and more from your laptop while utilizing a conference room system.

Notes for Legacy SIP:

The Greenroom User Interface and Media playback within Greenroom will not be passed back to the conference room solution.

If you are looking to create individual/independent feeds from different conference room locations, a unique URI and feed setup is needed for each.

Legacy Cisco Room Workflow

Configuration steps:

Step 1: On the Cisco conference room device, you’ll need to load “https://login.brandlive.com/conference-auth” URL onto the device's touchpad controller, so that it can be launched. Once launched, it will look like this:

Step 2: Once the application is configured on the touchpad, anyone should be able to press the “Greenroom” button on the conference room touchpad and launch the code entry interface.

Step 3: Ensure that you are already invited to a Greenroom as a presenter.

Step 4: Make sure you’re inside a conference room with both your work computer open, as well as the code input screen launched in front of you.

Step 5: Begin the onboarding flow on your work computer, and click the “Use conference room” button once it appears. (greenroom.brandlive.com/ROOMID)

Step 6: You’ll have the opportunity to input the code displayed on your conference room directly into the code entry boxes, and click “Connect”.
